New KSeF Deadlines – How to Prepare Your Accounting for the Changes

The Polish Ministry of Finance has announced new deadlines for the mandatory use of the National e-Invoicing System (KSeF). The changes will affect most businesses as early as 2026, making this the perfect time to assess whether your accounting system is ready to meet the upcoming requirements.

KSeF Timeline – Key Implementation Dates:

According to information released on April 12, 2025, the obligation to use KSeF will be introduced in phases:

  • From February 1, 2026 – large taxpayers whose gross sales in 2024 exceeded PLN 200 million;
  • From April 1, 2026 – all other entrepreneurs (excluding the smallest businesses);
  • From January 1, 2027 – digitally excluded micro-entrepreneurs (monthly sales up to PLN 10,000, invoices up to PLN 450).

KSeF Mobile App – Convenience for Accounting Teams

A new feature will be the KSeF 2.0 mobile app, with a test version expected to launch in November 2025. The app will allow users to issue, view, and share e-invoices, manage contractor and bank account data, and handle multiple seller profiles—all from a smartphone. This is a major convenience, especially for businesses using mobile accounting or operating in a hybrid model.

Accounting System and KSeF – What to Consider?

The rollout of KSeF will impact day-to-day operations in accounting departments, particularly in invoicing processes. Existing procedures will need to be integrated with new technical requirements. This is not just a matter of software updates—it may also require a rethinking of your accounting processes.
